How to Choose UK Landlord Software: A Practical Buyer’s Guide

Choose landlord software by testing the work you actually need to do. A clear rent balance, a repair you can follow and a certificate you can find tell you more than a long feature list.
This is a practical selection guide written by Tendmere, a landlord-software provider. It is not an independent ranking or a claim that we have tested competing products. The scenarios below are fictional exercises you can repeat in any trial, including ours.
First decide which job you are buying software to do
“I need to know who has paid”
Prioritise a tenant-by-tenant ledger, partial payments, opening balances, corrections and exports. If automatic bank feeds are essential, verify your bank, account type, consent process and current plan support. Manual entry or a reviewed CSV can be adequate for a small portfolio, but requires a regular reconciliation habit.
“I lose track of repairs and documents”
Prioritise the property record, messages, responsible person, next action and supporting documents. A rent-focused tool may still leave you managing repairs elsewhere. That can be acceptable if the handoff is clear; it is a problem if nobody can tell whether a job was booked or completed.
“I want someone else to handle the work”
Software does not provide a local person to attend an emergency or inspect a property. Consider an agent or competent professional alongside your record system. Our software, spreadsheet and letting-agent comparison explains those different responsibilities.
Prepare one safe trial property
Use a provider’s demo workspace or an isolated test property where permitted. Do not upload a real tenant’s identity documents or invite tenants, contractors or accountants merely to explore a trial. Keep outbound messages, payments and bookings switched off.
For the exercises, use a fictional property called “Sample House”, monthly rent of £1,000, no opening arrears, a £750 receipt, one heating-repair report and a blank sample document clearly marked “Demo — not a certificate”. These are illustrative records, not customer results. Do not use a demo file as evidence on a live property.
Test 1: can you explain a partial rent payment?
- Create one rent period for £1,000 and record a £750 receipt against it.
- Check that expected rent, money received and the £250 outstanding balance remain distinct.
- Add the remaining £250 against the same period. The balance should become £0, not create another rent charge.
- Inspect how you correct a wrong date or allocation and whether the change remains understandable.
- Open or export the history and check the period, receipt dates and amounts.
A useful result: you can explain the balance from the entries underneath it. A warning sign: changing a status to “paid” conceals what was actually received, or importing the same receipt twice silently inflates income. Ask how duplicate imports are detected before using real bank data.

Test 2: can you follow one repair from report to outcome?
Create a fictional “heating not working” case without sending it to anyone. Add the report, a safety-triage note, an access arrangement and a proposed contractor appointment. Record a sample £180 quote awaiting approval. The appointment is not evidence that the repair is complete.
- Can you find the property, occupier context, owner and next action from the case?
- Are proposed, approved and completed work visibly different?
- Can messages, diagnosis, photos and the eventual invoice be found together?
- If the issue returns, can you reopen it without losing the original history?
A useful result: another authorised person can understand what is blocked without reconstructing an inbox. This is a software exercise, not emergency-response advice. Test 3: does missing evidence stay visibly missing?
Add an obligation to the trial property with a review date but no certificate. Check whether the software distinguishes “date entered”, “document present”, “reviewed” and “not applicable”. A reminder alone cannot prove that an inspection happened or remedial work was completed.
Ask how the system records the document’s source, issue date, property and follow-up. If you select “not applicable”, check that a reason can be retained. Requirements vary by location and circumstances: the software should help you organise the applicable record, not certify your home from a checklist.

Test 4: can you hand over useful records?
Record a fictional £180 repair expense with its demo invoice. Export a single-property date range and check the property, dates, category, amounts and receipt references. Open the downloaded file; an export button is not proof of a usable output.
Check which records can be exported, which document originals must be downloaded separately, and what remains available after cancellation. Ask your accountant which format they need before importing a year of transactions. If you need live HMRC filing, confirm the exact production service and current recognition directly; digital record keeping and submission are different jobs.

Repeat the important tasks on your phone
Try uploading a sample photo, finding a tenant’s rent balance and returning to a draft after interruption. Check whether errors name the field that needs attention, whether you can back out safely, and whether the primary action stays usable with the keyboard open. A responsive website is not proof that an iOS or Android store app is available; check the actual access route.
Keep a short decision record
For each must-have task, note the result, plan tested, date, evidence and workaround. Use “works in my trial”, “needs help” or “not available” rather than an arbitrary overall score. Separate essential requirements from conveniences.
- Cost: confirm property limits, collaborators, add-ons, billing frequency and cancellation terms.
- Setup: check how historical balances, documents and CSV columns are imported and corrected.
- Access: verify that a contractor or accountant sees only the records appropriate to their role.
- Support: find the actual contact route and published scope; do not assume round-the-clock cover.
- Exit: test a download and read the retention and account-deletion terms.
Choose the product that completes your essential jobs reliably. If a critical service is unavailable, use another verified service for that job or defer the purchase; a future promise is not a working solution.
Where Tendmere fits—and where it does not yet
