The best time to build a property operating record is before the first late payment, urgent repair or certificate renewal. Set up the basics once, then maintain exceptions rather than reconstructing history.
Stage 1: establish the property
- Record address, property type, ownership and relevant finance.
- Confirm permission to let, insurance and any licence requirements.
- Create a current evidence list based on location and occupation.
- Add trusted professional and emergency contact details.
Stage 2: prepare for occupation
- Review safety, energy and property-condition requirements.
- Prepare the agreement and required information for the relevant nation.
- Choose a lawful applicant-checking and decision process.
- Plan deposit handling, inventory and move-in evidence.
Stage 3: create the tenancy record
- Add every occupier and responsible party.
- Record the tenancy stage, key dates and rent schedule.
- Store documents supplied and acknowledgements received.
- Record deposit protection and move-in condition evidence.
Stage 4: make recurring work visible
- Set certificate and licence renewal dates.
- Create a rent review and tenancy review point.
- Choose a repair reporting route and response process.
- Set a monthly finance and quarterly property review.
Stage 5: test the system
Before relying on it, simulate four moments: a missing rent payment, a heating failure, an expiring certificate and a request from your accountant. You should be able to find the current state, evidence, responsible person and next action quickly.
Your first monthly review
- Reconcile expected and received rent.
- Attach receipts to expenses.
- Review open repairs and tenant messages.
- Look 90 days ahead for evidence deadlines.
- Check that ownership and tenancy state still match reality.
