There is no universally correct operating model. A spreadsheet can be enough for stable, simple records; software can connect repeatable work; a good letting agent can provide people and local execution. The right choice depends on where you need control and where you need capacity.

Choose a spreadsheet when
- your record set is genuinely small and stable;
- you are disciplined about documents, backups and reminders;
- you do not need shared case management;
- you can produce a clear audit trail without reconstruction.
A spreadsheet is weak at communication, evidence provenance and multi-step repairs. It can tell you a certificate date; it cannot naturally show the certificate, reminder, booking, remedial work and tenant delivery together.
Choose landlord software when
- you want direct control with a repeatable process;
- rent, repairs, tenancy, compliance and documents need to connect;
- you collaborate with tenants, contractors or an accountant;
- you need attention views rather than another static register.
Judge software by the quality of the workflow and evidence, not the quantity of menu items.
Choose a letting agent when
- you need local people to execute the work;
- you cannot reliably respond to tenants or emergencies;
- the portfolio or tenancy complexity exceeds your capacity;
- you prefer delegation and can oversee service quality.
Ask how you access records, approvals, repair history and financial information. The operating record should remain usable if the relationship ends.
A hybrid is often strongest
You can keep a canonical property record while using an agent for tenant-find, inspections or management; an accountant for tax; and contractors for repair execution. The key is clarity about responsibility and evidence.
Calculate total cost, not just price
Include subscription or agent fees, your time, missed deductions, duplicated work, unresolved repairs, voids and the cost of reconstructing evidence. A low monthly price is poor value if the system still requires you to hold the portfolio in your head.
