A digital property file should be a living record, not a cloud folder full of unexplained PDFs. Its job is to show the current state, the supporting evidence and the history of decisions.
The property summary
Start with the information needed to orient someone quickly:
- address, property type, ownership and occupancy;
- current tenancy and responsible contacts;
- rent due, recent receipts and arrears state;
- open repairs and access arrangements;
- critical, expiring or missing compliance evidence;
- pending decisions and approvals;
- recent timeline events.
The seven sections underneath
- People and tenancy: applicants, occupiers, agreements, deposits, notices and lifecycle stage.
- Money: rent schedule, ledger, arrears, expenses, invoices, ownership split and accountant notes.
- Repairs: one case per issue, including messages, access, contractor, quote, evidence and outcome.
- Compliance: applicability, certificate, source, expiry, renewal and remediation.
- Documents: searchable originals with clear dates, types and relationships.
- Communication: property and case conversations, delivery state and response-required markers.
- Timeline: important changes across every section in chronological order.
Use links, not copies
A certificate should exist once and appear wherever it is relevant. A repair invoice should link to the repair, expense and contractor rather than being uploaded three times. Duplication creates uncertainty about which version is authoritative.
Name documents for humans
Use a consistent pattern such as Property — document type — issue date — provider. Add structured fields for expiry, tenancy, source and status instead of relying on the filename to carry everything.
Add provenance
For important evidence, record who supplied it, when it was uploaded, whether it has been reviewed and what action followed. Provenance is what turns a file into usable evidence.
Create an exception-first home
The property page should lead with work that needs attention. Completed certificates, closed repairs and old tenancies remain available in their sections and timeline, but they should not compete with a current gas-safety gap or unanswered tenant message.
A 30-minute setup sequence
- Create the property and ownership record.
- Add the current tenancy and occupiers.
- Set the rent schedule and opening balance.
- Upload current safety and tenancy documents.
- Add open repairs and current conversations.
- Review missing evidence and assign next actions.
