A useful compliance calendar does more than store expiry dates. It shows what applies, what proves it, who owns the action and what is blocked for each property.
Requirements vary by nation, property type, occupation, licensing area and tenancy. Treat the list below as a structured starting point, then verify applicability with the relevant government and local-authority guidance.
Before marketing or agreeing a tenancy
- Confirm the property can lawfully be let and check local selective, additional or HMO licensing.
- Record the EPC and any applicable energy-efficiency requirements.
- Check gas, electrical, fire and alarm requirements for the property.
- Prepare the tenancy information and documents required in the relevant UK nation.
- Plan lawful applicant and Right to Rent checks where applicable.
At tenancy setup
- Record the signed agreement and key dates.
- Protect any tenancy deposit and retain scheme evidence and information served.
- Capture inventory, condition and meter readings with dated photographs.
- Record certificates and documents supplied to occupiers.
- Store consent, access and communication records.
During occupation
- Schedule certificate renewals with enough time for access and remedial work.
- Track reported repairs from acknowledgement to tenant-confirmed completion.
- Record inspections, hazards, actions and follow-up evidence.
- Reconcile expected and received rent, keeping communications tied to the ledger.
- Review licence conditions, insurer requirements and mortgage conditions.
At renewal, notice or move-out
- Confirm the tenancy stage and current statutory process before acting.
- Review the deposit, inventory and check-out evidence together.
- Record final meter readings, keys, forwarding details and unresolved repairs.
- Keep a decision trail for deductions, disputes and approvals.
- Move the property into an explicit vacant, works or remarketing state.
