Start with the problem in front of you

A handover is more than receiving keys or changing a contact name. The next person needs to understand the tenancy, the money, the evidence and the promises already made. Whether you are taking over from an agent, organising a property file or recording a move-out, start by defining what is changing and what must continue without interruption.

Step 1

Take over the property without losing the history

Agree the management handover date and the responsibilities on either side of it. Ask for an index of records, then open the files and check that they concern the right property and tenancy. Rent receipts, deductions and remittances need reconciliation. List booked visits, open complaints and promised updates before spending time tidying the archive.

Aim for: A usable starting file and continuity for the tenant.

Step 2

Check the deposit and outstanding evidence

Keep protection details, prescribed information and evidence of delivery together. A scheme reference alone does not explain the whole history. When management changes, confirm the scheme's process and who will handle administration rather than assuming the old arrangement has transferred. Missing documents should have a named follow-up, not a guessed completion date.

Aim for: The deposit record and its gaps are visible to the person responsible.

Step 3

Record the move-out and the work that continues

Agree practical arrangements and keep them distinct from the legal tenancy end. Record returned keys, meter readings, dated condition evidence and issues needing review. Use the check-in evidence when reviewing condition rather than treating every difference as a tenant charge. Keep any deposit discussion and unfinished repair attached to the former tenancy even when preparing for the next occupier.

Aim for: A dated handover record with unresolved decisions clearly assigned.

Worked example · fictional scenario

The agency changed; the appointment did not

Fictional example: an agent's management ends on Friday, but a repair visit is booked for Monday. The outgoing agent has the tenant's access confirmation and the contractor's quote. Put those records in the handover, agree who will manage the visit and give the tenant a clear contact. Do not cancel or duplicate the appointment just because the management record changed.

Carry the live commitments across the handover, not only the documents.

Questions before you start

Is taking over from an agent the same as starting a new tenancy?

No. A change in management is not, by itself, a new tenancy. Establish the existing terms, records and continuing responsibilities. Get appropriate advice before changing the tenant's terms or treating the tenancy as ended.

Can I mark the deposit complete as soon as I find the certificate?

Not on that fact alone. Review the relevant scheme details, required information and delivery evidence, and check for outstanding questions. The checklist helps you organise the evidence; it does not certify legal compliance.

Do I need to upload every document before using Tendmere?
