Why It's Time to Ditch Your Landlord Spreadsheet
Still using Excel to manage your properties? Here's why landlords are switching to purpose-built software — and how to review a careful migration.

Spreadsheets got you this far. They're free, they're flexible, and you've already trained yourself to use them. So why does the average landlord with 3+ properties spend 2–4 hours a week on admin, mostly inside Excel? And why does year-end tax preparation reliably eat the first weekend of April every year? This article makes the case for switching to purpose-built landlord software, walks through the genuine costs of staying on a spreadsheet, addresses the migration anxiety honestly, and explains where a spreadsheet still wins.
Where spreadsheets fall short
The functional gaps are well-documented but worth restating clearly because they compound:
- No automation. Every rent payment, every expense, every date renewal must be entered manually. The marginal cost per entry is small (30 seconds) but the annual aggregate for a 5-property portfolio is around 80 hours.
- No reminders. Spreadsheets don't nudge you when a gas safety certificate is expiring. Conditional formatting can highlight a date once you open the file, but the file has to be open. Most landlords find out a certificate has expired when their letting agent emails or — worse — when the tenant's gas combi cuts out.
- No bank connection. You can't auto-match incoming transactions to tenants. Every rent receipt requires you to (a) check the bank statement, (b) identify which tenant paid, (c) enter the row, (d) update the tenant's "paid up to" date. Provider-connected software can reduce this work; Tendmere currently uses manual records and reviewed CSV imports rather than claiming a live bank feed.
- Error-prone. One wrong formula — a SUM that excludes a row, a cell-reference drift after an insert, a circular reference — and your entire tax calculation is off. Most landlords don't catch these until their accountant does, sometimes years later.
- Not MTD-compatible. Spreadsheets without bridging software cannot submit quarterly returns to HMRC under Making Tax Digital for Income Tax (effective April 2026 for landlords above £50k combined gross income, dropping to £30k in 2027 and £20k in 2028). Bridging software adds £40–£100 a year and another integration to maintain.
- No mobile access. Trying to manage a property from your phone via Excel means squinting at tiny cells in landscape orientation. Tenant emergencies happen at 11pm in the rain — you need software that works on the device in your pocket.
- No audit trail. If you accidentally type over a rent payment with an expense entry, both records are gone. Software keeps a versioned history; you can see exactly what changed, when, and by whom (if you have multi-user access).
- Single point of failure. One corrupted .xlsx file, one accidental "Save As" over the master, one ransomware attack on your laptop, and your records are gone. Cloud-backed spreadsheets help, but the version history isn't structured enough to recover specific transactions easily.
- Compliance gaps invisible. A spreadsheet doesn't know your HMO is in a selective licensing area; it can't compare your portfolio against the right-to-rent renewal cycle; it doesn't flag a missing EICR. All of those gaps cost real money in fines (up to £30,000 per property under the latest MEES rules) or unrentable units.
What software gives you that the spreadsheet can't
- Reviewed rent reconciliation. Tendmere supports manual records and reviewed CSV imports today. Automatic Open Banking matching is not live.
- Compliance reminders at 60, 30, 14, and 7 days before each Gas Safety, EICR, EPC, deposit protection deadline, and Right to Rent renewal date. In-app and email workflows are available; native push delivery remains pre-release.
- Reviewed expense records. Choose an HMRC-aligned category and attach the source receipt. Where assisted extraction is configured, every proposed amount, date, vendor and category still requires human review.
- MTD-oriented review packs built from the figures saved in your account. Production HMRC filing is not enabled, so live submission still requires an approved route.
- Document storage with reviewed details. Upload the gas certificate, record or check its key fields, and keep the source file beside the date you rely on.
- Responsive mobile web workflow. Core web journeys are designed for a phone-sized screen. Signed native iOS and Android releases are not yet available.
- Tenant-facing portal. Tenants can review recorded payments, raise repair requests with photos, and use available statements; this supports rather than eliminates landlord communication.
- Draft legal-workflow templates. Prepare Section 13 rent-review material, deposit records and possession evidence from portfolio data, with clear prompts to check the latest prescribed forms and take case-specific advice.
- Multi-user access with role-based permissions. The Accountant role is finance-scoped; contractor access is job-scoped; owner and manager access is broader.
The honest economic case
People who stay on spreadsheets usually frame it as "I'm saving £19/month." That's a misleading frame — there are at least four other costs.
Time
Administrative effort varies widely with portfolio size, tenancy complexity and record quality. Tendmere has not yet published a measured time-saving benchmark, so evaluate it against your own current workflow rather than an assumed hourly saving.
Mistakes
A formula error that under-claims one allowable expense costs you 20%–45% of the missed amount in tax. A missed compliance deadline costs anywhere from £100 (re-issuing a certificate) to thousands in civil penalties, rent repayment orders, or a weaker possession claim. Even one £200 mistake a year wipes out the cost of software twice over.
Bridging software for MTD
From April 2026, spreadsheets cannot submit MTD quarterly returns directly. You'll need bridging software (£40–£100/year per VAT registration; landlord variants similar) plus the time to learn the bridging tool. That's a hidden £4–£8/month cost on top of your "free" spreadsheet.
Stress
Hardest to put a number on. The mental tax of knowing your spreadsheet might be wrong, your reconciliation might be three months stale, your gas safety might have lapsed without you noticing — that compounds into reluctance to take on the next property. Software removes that overhead.
Do not assume a fixed saving. The controlled web beta currently takes no card payment; paid prices and entitlements remain provisional until checkout is verified. Compare the records and review work you actually complete before deciding whether a future paid plan is worthwhile.
The migration fear (and why it's overblown)
"I've got 5 years of data in here — I can't start over." You don't have to. Tendmere's import flow suggests column mappings for supported spreadsheets and lets you confirm or correct each one. Preview and reconcile the rows before accepting the migration; completion time depends on file size and data quality.
What you bring across from a spreadsheet:
- Property addresses, types, bedrooms, current value
- Tenants with rent amount, deposit, tenancy dates, contact details
- Rent payment history (every row gets matched to a tenant by name + date + amount)
- Expense history (each row gets categorised against the SA105 boxes; you confirm or override)
- Compliance certificates (expiry dates flow into the reminder system)
What you have to add fresh:
- Photos and PDFs of certificates (upload the source and verify the recorded details; assisted extraction is provider-gated)
- Bank records (manual entry or reviewed CSV today; automatic Open Banking is not live)
- Tenant invitations to the portal (optional, one click each)

When you should still use a spreadsheet
Honesty matters. Three cases where a spreadsheet is the right tool:
- You have 1 property and gross income under £20,000. Below the eventual MTD threshold, simple cashflow, low compliance burden — a spreadsheet works fine. Re-evaluate when you add a second property or your income approaches the threshold.
- You're a bookkeeping enthusiast who treats your portfolio ledger as a hobby. The customisation flexibility of Excel is unmatched, and if you don't value the time, the cost is genuinely zero. Just budget for bridging software once MTD applies.
- You're a short-term landlord winding down. If you're letting one property for 6–12 months while waiting to sell, the setup cost of any software (even a free tier) might not pay back. A simple sheet survives the duration.
Outside those three cases, the migration window pays for itself within 3–6 months.
When to switch
If any of these apply, it's time:
- You manage 3+ properties
- Your gross combined self-employed + property income is approaching £20,000 (the eventual MTD threshold)
- You've missed (or nearly missed) a compliance deadline in the last 12 months
- Your year-end tax prep takes more than an hour
- You've ever lost a receipt
- You're spending more than 30 minutes a week on landlord admin
- You're sharing the spreadsheet with an accountant, spouse, or business partner via email rather than real-time
- You've ever opened the spreadsheet on your phone and given up because the cells were too small
What to look for in landlord software
Not all software is equal. Six things matter:
- UK-native. SA105 categories, MTD support, deposit-protection schemes (DPS, MyDeposits, TDS), Gas Safety + EPC + EICR + Right to Rent compliance — built in, not retrofitted from US software.
- Open Banking authorised. The provider should be FCA-registered as an AISP. Check the FCA register.
- HMRC-recognised for MTD. If MTD is on your horizon, confirm the software is on HMRC's recognised list at gov.uk/find-software-mtd-itsa.
- Proper free tier or trial. You should be able to import your data and see your real numbers before committing to a subscription.
- Data export. One-click CSV export of everything. If the provider locks your data in, you have a problem.
- EU/UK data residency. Your tenant data is personal data under UK GDPR. Hosting in the US adds compliance overhead and increases the risk of cross-border data requests.
