What to digitise
Every document related to your rental properties should have a digital copy:
- Certificates: Gas Safety, EPC, EICR, smoke/CO alarm test records
- Agreements: Tenancy agreements, guarantor forms, deposit prescribed information
- Financial: Receipts, invoices, mortgage statements, insurance policies
- Correspondence: Letters to/from tenants, contractor quotes, council notices
- Photos: Check-in/check-out inventories, inspection reports, maintenance before/after
How to digitise existing paper
You don't need a scanner. Your phone camera plus a document scanning app (Microsoft Lens, Adobe Scan, or the built-in iOS/Android scanner) produces clear, straight PDFs in seconds. Scan everything, then shred the paper originals once you've verified the digital copies are legible.
Organising your digital vault
Structure by property, then by category:

Legal requirements for record keeping
- HMRC: Keep financial records for 5 years after the 31 January submission deadline
- Gas Safety: Keep certificates for 2 years (current + previous)
- Deposit protection: Keep prescribed information records for the duration of the tenancy + 6 years (limitation period for court claims)
- Tenancy agreements: Keep for the duration + 6 years
